Vote on a request to award the vehicle upfit bid on the Sheriff’s seventeen new vehicles to Mr. Communications in the amount of 113,145
Introduction & Background:
The County solicited formal bids for the upfit of seventeen new 2016 vehicles for the Sheriff’s Office. Ten vendors (including three other local vendors) were contacted directly by email and or phone, as well as publishing the advertisement in the Chatham News and on the Chatham County Bid Opportunity page.
The formal bid process required the bids to be submitted in a sealed envelope or package and sent or delivered to the Purchasing Agent in the Finance Office located at 12 East Street. One bid was submitted via email file only and was rejected as it did not meet the submittal requirement of the bid.
Jim Handler, d.b.a. Mr. Communications, submitted the only sealed bid.
While the County seeks out competition and desires three bids, there is no state requirement for three bids for purchase of goods and service.
Discussion & Analysis:
The bid submitted by Mr. Communications is as listed:
Eight (8) 2016 Explorers - $7,080.00 each
Six (6) 2016 Chargers $6,995.00 each
Three (3) 2016 Chargers $4,845.00 each
The bid total for the seventeen vehicles is $113,145.00. The County included language in the bid document that the bid price be honored for a period of one year if additional vehicle upfits for the models bid are needed during the year.
Budgetary Impact:
The vehicles and upfit equipment are included in the current budget year.
Recommendation:
Recommendation to award the vehicle upfit bid on the Sheriff’s seventeen new vehicles to Mr. Communications in the amount of 113,145.
