Vote to approve policy amendments to the Chatham County Agriculture and Conference Center (CCACC) Rental Policy
Abstract
Introduction & Background: From time to time, it is necessary to review existing policies and update due to market or administrative demands.
Discussion & Analysis: These policy amendments address a number of different sections, including Group Designations & Booking Guidelines, General Information, Alcohol Policy, and Fire Safety. Additionally, a section has been added regarding entitled Treatment of Animals.
A synopsis of the recommended changes is as follows:
1. Modifications to the seating capacities (administrative)
2. Modifications to reservation time/criteria
• Extend reservation window for building occupants (from 13 to 19 months) and private full fee rentals (12 to 18 months).
• Shorten reservation window for internal county departments and non-profit organizations.
• Clarify qualifications for non-profit status (must be county-funded organizations).
3. Modifications to alcohol policy section
• Add restricted areas clause (will allow limited consumption outdoors on grounds).
• Add unauthorized/unpermitted use clause to allow for cancellation of event if violated.
• Update permits required for alcohol service.
• Update to allow cash bars with appropriate ABC permit.
• Remove time restrictions on alcohol services.
4. Modifications to fire safety section
• Allow for the use of open flame during religious ceremonies only.
• Designate that a fire watch be assigned, and CC Fire Marshal’s Fire Watch Packet must be completed and approved.
5. Extend rental hours on Sundays from 9:00PM to 11:00PM
6. Add section on treatment of animals.
7. Remove specific rates as they are subject to change with budget (we are proposing a rate increase this year for example)
